1. Send them an email instead of calling.

The first thing that you can do is send them an email informing them of your decision. In your email, you can craft the perfect message without putting them – and yourself – on the spot. It will also give you time to think about what you say and how you say it so the message doesn’t sound awkward. A polite and professional tone in your email goes a long way.

2. Give feedback.

Provide feedback, particularly the reasons why you didn’t choose them. It’s good to explain your side of why you decided to go to another contractor or professional for the job. Be honest with your explanation without sounding condescending. This will make your email more objective and less personal. 

3. Be positive.

Keep a positive tone. Compliment the things you liked about them. Were they prompt with their kitchen quote? Did they give you recommendations to make the design better? You may also mention whatever motivated you to call them in the first place, such as their good reputation within the local community.

4. Leave the door open.

At some point, you may be speaking to the same contractors again if you plan a remodel in the future, so don’t burn bridges – think of them as connections that you can call the next time you need them.
